This privacy policy explains how PlanningPost.ie collects, uses, and protects your personal data when you use our service.

What data do we collect?

PlanningPost.ie (the data controller) collects the following data:

  • Personal identification information: name and email address
  • Business profile information: business name, business address, contact email, phone number, and trade type
  • Technical information: IP address and browser details recorded at sign-in
  • Subscription and billing information: your plan, coverage area, and payment status
  • Direct mail request records: which planning applications you have selected for letter sending and when

How do we collect your data?

You directly provide PlanningPost.ie with most of the data we collect. We collect and process data when you:

  • Create an account and sign in using your email address
  • Set up or update your subscriber profile
  • Subscribe to a plan and complete payment through our payment provider, Stripe
  • Use the Direct Mail feature to select planning applications for letter sending
  • Contact us by email

PlanningPost.ie also receives data indirectly from the following sources:

  • The Irish local authorities: we collect publicly available planning application data from their websites, including applicant names and property addresses
  • Stripe: we receive confirmation of payment status and a customer reference when you subscribe

How will we use your data?

PlanningPost.ie collects your data so that we can:

  • Authenticate you and keep your account secure
  • Deliver your weekly planning report by email, filtered to your coverage area
  • Process your subscription and manage your billing through Stripe
  • Send direct mail letters to planning applicants on your behalf when you use the Data + Mail feature
  • Issue VAT invoices as required by Irish tax law
  • Respond to any queries you send us

PlanningPost.ie will not share your data with any third party for marketing purposes. We do not sell your data.

When PlanningPost.ie processes your subscription, we send the necessary billing data to Stripe, our payment processor, to handle your payment securely. When you use the Direct Mail feature, we share your business details with our print and postal partner in Ireland to produce and post the letters on your behalf.

How do we store your data?

PlanningPost.ie securely stores your data on servers located within the European Union. All data is transmitted over encrypted connections (HTTPS). We use a secure HTTP-only cookie to keep you signed in. Your payment card details are handled exclusively by Stripe and are never stored on our servers. Access to personal data is limited to those who need it to operate the service.

We do not transfer your personal data outside the European Union, except to Stripe for payment processing. Stripe is certified under the EU-US Data Privacy Framework and processes data under standard contractual clauses approved by the European Commission.

We will keep your data for as long as your account is active. Specifically:

  • Your account and subscriber profile will be deleted when you close your account, along with all related records
  • Billing records will be kept for 7 years as required by Irish revenue law
  • Direct mail request records will be kept for 2 years for billing and dispute purposes, then deleted
  • Session records are deleted when you sign out or when your session expires

What are your data protection rights?

PlanningPost.ie would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access: you have the right to request copies of your personal data from PlanningPost.ie.

The right to rectification: you have the right to request that PlanningPost.ie correct any information you believe is inaccurate, or complete any information you believe is incomplete. You can also update most of your information directly from your account dashboard.

The right to erasure: you have the right to request that PlanningPost.ie erase your personal data, under certain conditions. Billing records we are legally required to retain are exempt for the required period.

The right to restrict processing: you have the right to request that PlanningPost.ie restrict the processing of your personal data, under certain conditions.

The right to object to processing: you have the right to object to PlanningPost.ie's processing of your personal data, under certain conditions.

The right to data portability: you have the right to request that PlanningPost.ie transfer the data we hold about you to another organisation, or directly to you, under certain conditions.

Cookies

Cookies are small text files placed on your device by a website. PlanningPost.ie uses a single cookie:

  • Session cookie: this keeps you signed in while you use your account. It contains a session token and no personal data. It is a secure, HTTP-only cookie and expires after 7 days or when you sign out.

We do not use advertising cookies, analytics cookies, or any third-party tracking cookies. No cookie consent banner is shown because we only use a strictly necessary cookie to operate the service.

You can set your browser to refuse cookies, but if you do you will not be able to sign in to your account.

Privacy policies of other websites

The PlanningPost.ie website contains links to other websites, including links to local authority planning portals and to Stripe for payment processing. Our privacy policy applies only to our website. If you click a link to another website, you should read their privacy policy.

A note on planning application data

Our reports include data sourced from Irish planning authority records, which are publicly available under statutory obligation. This data may include names and addresses associated with planning applications as submitted to and published by local authorities.

We process this information on the basis of legitimate interests under Article 6(1)(f) of the GDPR. We have assessed that this does not override the rights of individuals concerned, as the information is already in the public domain.

Changes to our privacy policy

PlanningPost.ie keeps its privacy policy under regular review and places any updates on this web page. If we make material changes we will notify active subscribers by email before the change takes effect. This privacy policy was last updated in April 2026.
